Catherine Maley, MBA, author and renowned cosmetic practice business coach, explains what surgeons often miss about coordinators.
Indeed, welcome to “Beauty and the Biz,” where we’ll discuss the business and marketing side of plastic surgery.
As always, I’m your host, Catherine Maley, author of “Your Aesthetic Practice – What Your Patients Are Saying.” and consultant to plastic surgeons, helping them get more patients and more profits.
What Surgeons Often Miss About Coordinators
Often, most surgeons I work with do not recognize this right away. Instead, they notice it when revenue feels uneven. Alternatively, they feel it when consultations begin to stall.
Meanwhile, the patient coordinator role has quietly become one of the most critical positions in a cosmetic practice.
Notably, it is not because of scheduling. Likewise, it is not because of paperwork.
Instead, this role determines whether a patient feels confident enough to say yes.
Commonly, many practices assume, “If she’s nice, organized and experienced, she’ll convert.”
However, converting cosmetic consultations is not intuitive. Similarly, it is not administrative. Importantly, it is also not something most coordinators are ever formally trained to do.

In this short “Video,” “What surgeons often miss about coordinators,” I break down:
- First, what actually defines a strong patient coordinator today
- Next, the mindset and skill gaps that cause good coordinators to underperform
- Additionally, why likability is not the same as effectiveness
- Finally, how this role directly impacts your surgical schedule
Perhaps, you have thought, “She’s great, but we should be converting more.” Accordingly, this video gives language to that feeling.
To be clear, this is not about replacing staff. Likewise, it is not about adding pressure. Instead, it is about recognizing how critical this role really is.
Ultimately, it is about making sure it is set up for success.
P.S. Enrollment for the 2026 Converting Academy is now open for surgeons who want their coordinator(s) converting at a higher level. I’ve included several bonuses to make this a no-brainer practice growth move
